Reports To: Operations Manager / Warehouse Manager

Job Purpose:

The Receiving Clerk is responsible for the accurate receipt, inspection and recording of all incoming goods delivered to the warehouse. This role ensures that all stock received matches purchase orders and supplier documentation, is inspected for quantity and quality, and is processed promptly into the system. The Receiving Clerk plays a key role in maintaining inventory accuracy and ensuring a smooth flow of goods from receiving through to storage.

Key Responsibilities:

Receiving Goods:

  • Receive all inbound deliveries from suppliers, transport companies and inter-branch transfers.
  • Verify deliveries against Purchase Orders (POs), delivery notes and packing lists.
  • Ensure correct quantities, product codes, batch numbers and descriptions are received.
  • Check all goods for visible damage, shortages, overages or quality defects.
  • Report discrepancies immediately to the Receiving Supervisor or Management.
  • Ensure all received goods are unloaded safely and efficiently.

Documentation Control:

  • Complete Goods Received Notes (GRNs) accurately and timeously.
  • Verify supplier documentation before sending for processing.
  • File receiving documentation according to company procedures.
  • Maintain accurate receiving records.

Stock Identification & Labelling:

  • Ensure all received stock is correctly labelled where required.
  • Verify product  item codes, batch numbers and expiry dates.
  • Attach internal warehouse labels when applicable.
  • Ensure products are correctly identified before put-away.

Quality & Inspection:

  • Perform visual inspections of incoming goods.
  • Identify damaged, incorrect or poor-quality products.
  • Segregate damaged or quarantined stock accordingly.
  • Report quality concerns immediately to Receiving Supervisor.

Inventory Accuracy:

  • Ensure accurate stock quantities are recorded during receiving.
  • Investigate and report receiving discrepancies.
  • Assist with inventory reconciliations relating to received stock.
  • Support cycle counts and annual stock takes when required.
  • Maintain high levels of inventory accuracy.

Warehouse Operations:

  • Assist with directing machinery and warehouse staff during unloading.
  • Ensure received goods are staged correctly for put-away.
  • Maintain an organized receiving area.
  • Coordinate with Inventory staff regarding stock put-away priorities.
  • Assist with internal stock transfers where required.

Health, Safety & Housekeeping:

  • Ensure all receiving staff are wearing required Personal Protective Equipment (PPE).
  • Ensure safe unloading practices are followed.
  • Keep receiving areas clean, organized and free from hazards.
  • Report unsafe conditions, incidents or damaged equipment immediately.

Communication:

  • Communicate effectively with suppliers, drivers and warehouse personnel.
  • Liaise with Procurement, Inventory and Warehouse teams regarding receiving issues.
  • Notify management of urgent shortages or damaged deliveries.
  • Provide accurate feedback on receiving progress.

General Support:

  • Assist all your colleagues and other departments when required.
  • Perform any adhoc duties as assigned by your Supervisors or Managers.

Minimum Requirements:

Grade 12 (Matric).

Minimum 2 years' experience in a warehouse receiving or inventory role.

Computer literacy in Microsoft Office. (Advantageous)

Basic understanding of inventory management and warehouse processes.

Skills & Competencies:

Knowledge of warehouse receiving procedures.

Understanding of purchase orders, delivery notes and Goods Received Notes (GRNs).

Basic inventory control knowledge.

Ability to identify discrepancies in shipments.

Accuracy and attention to detail

Good verbal and written communication.

Problem-solving ability

Ability to work effectively with suppliers, drivers and warehouse teams.

Strong attention to detail.

Ability to work under pressure.

Able to work independently and within a team.

Working Conditions:

Warehouse environment with exposure to noise, dust, moving equipment and varying temperatures.

Requires standing, lifting, and manual handling for extended periods.

May require overtime or weekend work depending on operational needs.
