Purpose: (Brief statement of purpose and main objectives of the position)

  • The Supply Chain Shift Supervisor is responsible for managing and overseeing supply chain operations during assigned shifts.
  • This role ensures that warehouse, transport, and inventory activities are executed safely, efficiently, and in line with company standards.
  • The Shift Supervisor leads a team of employees, coordinates resources, ensures compliance with safety and regulatory requirements, and drives performance to meet operational targets.

Shift Operations Management

  • Ensure smooth, efficient, and safe supply chain operations during assigned shifts.
  • Oversee inbound, outbound, and internal logistics activities, coordinating staff and resources to meet daily targets. Execute daily activities that allow the business to receive, inspect, pack, store, pick and dispatch a quality product to the end customer within a controlled environment.  

 

Key Activities / Duties / Tasks

  • Supervise shift activities including receiving, storage, picking, packing, dispatch, and returns.
  • Allocate manpower and equipment to meet workload demands.
  • Monitor shift schedules and manage attendance.
  • Enforce standard operating procedures (SOPs) for consistency and compliance.
  • Receiving to be verified and Captured on SAP
  • Daily checks are carried out to ensure voltage, cleanliness and presentation of products are acceptable
  • Perform daily cycle counts
  • Support on monthly stocktakes
  • Process SAV to seconds for damages or double code batteries
  • Identify and escalate slow moving / obsolete stock on the floor
  • Manages the labelling process to minimise mistakes
  • Ensure all picking is scanned
  • Ensure daily dispatch according to delivery schedule and load report.
  • Support both local, SDA’s and exports dispatch and collections
  • Supervise & assist with the debriefing of all returning vehicles ensuring timeous and accurate offloading of vehicles.
  • Ensures daily rotations
  • Ensure that scrap to Fry’s is loaded timeously
  • Plan daily activities and workloads to ensure efficient workflow.
  • Coordinate with other supervisors or managers to manage shifts, schedules, and employee rotations.
  • Ensure proper handover between shifts, communicating any important information or issues to the next shift supervisor
  • Oversee cycle counts and stock reconciliations.
  • Investigate and resolve stock discrepancies.
  • Monitor stock handling processes to prevent losses and damages.
  • Collaborate with warehouse and procurement teams to maintain optimal stock levels.
  • Assist in cycle counting, stocktaking, and maintaining records of inventory movements.
  • Address discrepancies in inventory and report them to the warehouse manager
  • Analyse shift performance data and identify bottlenecks.
  • Recommend and implement process changes.
  • Lead small improvement projects (e.g., Lean/5S initiatives).
  • Escalate recurring issues to management with solutions.
  • Conduct shift handover reports and meetings.
  • Prepare daily performance and exception reports.
  • Escalate urgent operational issues to management.
  • Maintain clear communication between shifts, departments, and stakeholders.
  • Check and sign off on all dispatch records (picking, scanning, labelling, qty count and load report)
  • Daily recording, sign off and submitting of all shift’s reports
  • Update daily, weekly and monthly KPI’s tracking reports to show progress
  • Maintain accurate records of daily activities, including shift reports, attendance, productivity metrics, and incidents.
  • Provide regular reports to warehouse managers or senior management on shift performance, challenges, and achievements.
  • Ensure that warehouse equipment, such as forklifts, pallet jacks, and conveyor systems, is in good working condition.
  • Report any maintenance needs or repairs and coordinate with maintenance teams or external vendors
  • Ensure timely submission to HR on staff report (staff hours, sick days, leave or behavioural issues)
  • Ensures ongoing training and development of employees.
  • Addresses employee relations matters fairly and promptly.
  • Sign off Weekly and Monthly Payroll
  • Manage staff according to standard operational procedures.
  • Manage staff leave requirements
  • Address corrective actions accordingly
  • Report employee performance and provide feedback, coaching, and support to ensure high productivity.
  • Train new employees on warehouse operations, safety procedures, and company policies.
  • Conduct ongoing training sessions to improve team skills and knowledge of warehouse equipment and technology.
  • Identify opportunities for employee development and recommend training programs.
  • Respond to and resolve conflicts or issues among team members promptly and professionally.
  • Compliance with applicable regulations and procedures.
  • Identifies and reports risks or areas of concern
  • Ensures compliance with all relevant regulations and procedures.
  • Maintain LOS and manage FIFO
  • Responsible for Health and Safety by creating awareness, as well as to address all unsafe practices in a timeous manner.
  • Ensure low voltage stock on floor is escalated and moved for charging
  • Maintain a high level of housekeeping within warehouses
  • Implement and maintain quality control processes and procedures to minimize errors and damages.
  • Enforce safety policies and procedures to ensure a safe working environment for all staff.
  • Conduct regular safety inspections and ensure compliance with Occupational Safety and Health Administration (OSHA) and other regulations.
  • Investigate and report any accidents, incidents, or near misses and implement corrective actions

Inventory Control & Accuracy

  • Maintain accurate inventory records and minimize variances.
  • Ensure real-time stock accuracy through effective stock management practices and adherence to inventory processes.

Continuous Improvement & Problem Solving

  • Drive efficiency, cost reduction, and process improvements within shift operations.
  • Identify and implement improvements in processes, workflows, and systems

 

Communication, Admin & Reporting

  • Ensure effective information flow across shifts and with management.
  • Provide timely, accurate, and relevant updates and reports.

 

People Management

  • Managing CDC staff to perform at optimum levels, ensuring that outputs and KPI’s are achieved, and all behavioural aspects are addressed.

 

Corporate Governance, Risk & Compliance

  • Manage CDC team in a safe environment that delivers products and services that conform to all legal, safety, environmental and quality aspects required by company.

 

Key Performance Measures

  • On-time dispatch rate (%).
  • Order fulfilment accuracy (%).
  • Productivity per labour hour (units/hour).
  • Shift schedule adherence (%).
  • Received stock available on SAP within 24 hours
  • Stock take accuracy >98%
  • Compliance to scanning adherence 100%
  • Ensure picking accuracy 100%
  • Compliance to quality standards and customer expectations (No skew, poorly wrapped, damaged or dirty products to be dispatch)
  • All trucks to be dispatch before 9AM on a daily basis
  • Inventory accuracy (%).

  • Stock discrepancy resolution time (hours/days).

Qualifications And Experience

  • Must have a minimum of a Certificate in Logistics / Warehousing / Supply Chain or related fields (NQF 5)
  • Diploma in Logistics / Warehousing / Supply Chain or related fields (NQF 6) is preferred.
  • A minimum of 3 years’ experience in Logistics / Warehousing / Supply Chain operations

 

Technical Competencies

  • Computer Literacy (MS Office Suite; SAP, ERP Systems, and job-specific software systems).
  • Working knowledge of a warehouse environment
  • Working experience of warehouse maintenance system (WMS)
  • Experience in working shifts
